1. What this policy covers
This policy explains how we collect, use, and protect personal information when you use our website and services, including our combined Contact / Quote form. We comply with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). If you’re in the EU/UK, we also consider GDPR/UK GDPR requirements as noted below.
2. Information we collect
- Form details (General enquiries): name, email, phone (optional), message.
- Form details (Quote requests): name, email, phone (optional), pickup and drop-off address/suburb, timing notes, package details (weight/dimensions), and any notes you provide.
- Technical data: IP address, device/browser info, referrer, timestamps.
- Anti-spam: CAPTCHA challenge/response and related signals.
- Communications: emails and replies sent to/from Tentens Couriers.
- Operational records: job references and proof of delivery (POD) details when applicable.
3. How we collect your information
- Directly from you via our forms and emails.
- Automatically via your browser when visiting the site (standard logs).
- Through service providers we use to operate the site (hosting, email/SES, anti-spam, analytics).
4. Why we collect and use it
- Provide quotes and respond to enquiries you submit.
- Deliver courier services you book with us (scheduling, updates, POD).
- Fraud/spam prevention (CAPTCHA, rate limiting, IP checks).
- Site reliability and analytics (diagnostics, performance, usage patterns).
- Legal/compliance (records of consent, dispute management).
Legal bases (EU/UK visitors): performance of a contract or steps prior to a contract; legitimate interests (service operation, security, spam prevention); and, where required, consent.
5. Cookies and analytics
We use essential cookies for security and basic functionality. If we use analytics/caching (e.g., Google Analytics, CDN), these may set cookies or process pseudonymous data to help improve the website. You can control cookies in your browser settings.
6. Email sending & deliverability
We use Amazon Simple Email Service (SES) to send form notifications and replies. We also configure SNS bounce/complaint handling to suppress problematic addresses and maintain deliverability. Your name/email and message content will be processed by SES and our email provider to deliver messages.
7. Who we share information with
- Service providers (hosting, email/SES, error logging, analytics, anti-spam/CAPTCHA) under confidentiality.
- Couriers/contractors assisting with pickup/delivery — only the minimum required details.
- Law enforcement/regulators where required by law or to protect rights/safety.
- Business transfers (e.g., sale/merger) where data is part of assets transferred.
Some providers may store/process data outside Australia. We take steps to ensure appropriate safeguards.
8. Data retention
- Form submissions & related emails: up to 24 months, unless needed longer for legal reasons or you request deletion.
- Operational job records (invoices/POD): as required for tax and compliance (typically 5–7 years).
- Security logs: typically 3–12 months.
9. Security
We use reasonable technical and organisational measures (HTTPS/TLS, access controls, least-privilege accounts, spam/abuse protections). No system is 100% secure, but we work to minimise risk.
10. Your rights
- Access and correction of your personal information.
- Deletion where we’re not required to retain it (e.g., legal/tax records must be kept for the required period).
- Opt-out of marketing (we don’t currently send marketing emails).

11. Children
Our site is not directed to children under 16. We don’t knowingly collect data from children.
12. Changes
We may update this policy from time to time. We’ll post the new version with an updated effective date above.
